Policy

Each AFS Staff member has his or her own personal voice mail set up for them on their phones. It is the duty of that staff member to retrieve their messages as they come in and reply to them promptly and accurately with customer service, or they must be forwarded to the correct recipient. This info is from the Info Center.


Procedures

1. Log into your phone.
2. Press “Voice Mail”
3. Enter your code when prompted.
4. Press 7 to listen to your messages.
5. Press 7 again to listen to the message again.
6. If the message should be forwarded, press 2, to forward the message to another user, press 1, enter the mailbox number that you wish to forward the message to, press 2 and record a comment about the message before forwarding message.
7. Press 3 to discard the message.
8. Press 4 if you wish to skip to the previous message.
9. Press 5 if you wish to save the message.
10. Press 6 if you wish to skip to the next message.
11. Press 8 to hear the message’s time and date.
12. Press 9 to return to the previous menu.


Protocol

Messages must be responded to promptly, accurately, and professionally. They will be retrieved throughout the day and replied to within 24 business hours. If you will be out of the office for an extended period of time, you will ask another staff member to check and respond to your messages.
