Sending Gateway Orientation Group Leader Responsibilities

Overview of Group Leader responsibilities:

  • Review Culture Trek AFS-USA's on-line orientation program for outbound participants
  • Review the Group Leader guide.
  • Attend Group Leader Training upon arrival on site. Most training sessions begin the day before the students' arrival at the site.
  • Help with the activities as needed.
  • Help register the students as they arrive at the orientation site.
  • Organize students into groups for their orientation sessions.

NOTE: The Group Leaders are expected to be responsible for the groups of students they are assigned from the time the students arrive on-site until the buses depart for the airport.

Description of Group Leader responsibilities:

TRAINING

  • Understand the content of Culture Trek and The AFS Guide for Participants.
  • Meet with your group of students a minimum of three times to cover the required activities and materials.
  • Prepare for each orientation session by gathering all the necessary materials.
  • Attend nightly staff meetings.

REGISTRATION

  • Participate in the registration process as students arrive at the orientation site.
  • Make sure all students have arrived and are assigned a room.
  • Report to the Orientation Director or the SAD if a student is missing or if there is a room problem.
  • Show students to their rooms and answer questions.
  • Assist Travel and Logistics Staff by collecting passports and return domestic tickets, if necessary.

SITE LOGISTICS

  • Point out the offices of the Orientation Director, SAD, Travel and Logistics Staff to all students.
  • Explain procedures for meals, valuables, and lost & found.

SCHEDULING

  • Follow the Orientation Director's schedule.
  • Wake up students in the morning.
  • Attend meals with the students.
  • Enforce curfew.

SUPPORT ISSUES

  • Act as screener for student concerns.
  • Refer students to the SAD or Orientation Director in case of abnormal behavior or serious concerns.
  • Discuss routine concerns and expectations with students as necessary.

SAFETY AND SECURITY

  • Communicate to OD or SAD if students are missing from group.
  • Review Safety Tips with participants.
  • Perform bed checks and hall monitoring duty as requested by OC.

Please note the following information:

  • To ensure adequate staffing, Group Leaders must check with the Orientation Director if they find it necessary to leave the site.
  • Orientation staff are NOT allowed to drink alcohol while students are at the orientation site.
  • No swimming or use of gym or spa facilities. Need to discuss
  • No visitors are allowed on the orientation site because there is simply not enough time for the orientation staff or the participants to entertain visitors. If you encounter a visitor, please notify the Orientation Director immediately.
  • Group Leaders do not have the authority to allow participants to leave the site. Need to discuss
