Sending Application, Admission and Preparation Process

Student submits Preliminary Application
- Student submits the Preliminary Application and pays the $75 application fee.
- A person record and service case is created in Global Link.
- Global Link service stage: Application
- Online Application (OA) status:
- Created (new applicants)
- Preparing (after students start working on their applications)
- At the time the students submits the preliminary application, they receive two successive auto emails. The first email includes their AFS Account login & password.
- After the student edits and saves at least one page in their application, a second email is sent, encouraging the student to contact the volunteer Sending Interview Coordinator to arrange the interview. The Sending Coordinator is cc:ed on this email.
- Volunteers are encouraged to connect with students via phone, email, events locally, and update the contact log in Global Link.
- The Application Checklist is located in the 'Applicants' section of the AFS-USA website
Student submits Online Application
- Once the students completes the online application, they 'submit' their application.
- Global Link Service stage: Application
- Online application status:
- Submitted, (before application is reviewed by the Advisor).
- Returned (after application is reviewed and deemed incomplete by the Advisor).
- When the Advisor puts the student in 'Returned' the Advisor sends email to student letting them know of any incomplete items in the online application.
- The Advisor logs all additional phone calls and personalized emails in Global Link to complete the application.
Student’s Online Application is "Accepted"
- Once the application is complete, the Advisor accepts the online application. An auto email lets the student know their application is complete.
- Global Link service case status: accepted.
Student is accepted by AFS-USA
- Global Link service stage: Admission
- Online application status: Transferred
- Partner Review Mailing: Student sent a letter informing them of their acceptance by AFS-USA. Mailing includes:
- Country Review letter
- Letter to student about AFS Guide for Participants
- Letter to parents about AFS Guide for Families of Participants
- AFS Guide for Participants handbook
- AFS Guide for Families of Participants handbook
- Partner Review Email: Student sent an email informing them of their acceptance by AFS-USA.
- Invoice: Student/family sent invoice at this stage.
Student accepted by Partner Country (Guaranteed)
- Global Link service stage: Preparation
- Acceptance Mailing: Student sent letter informing them of the acceptance by the partner country.
- Acceptance Email: Student sent email informing them of the acceptance by the partner country.
- AFS Student Account: Student can access the following information as it becomes available:
- Visa Information - links to AFS-USA website, departing student pages
- Country Information - links to AFS-USA website, departing student pages
- Host Family Information
- Travel Notification: Student sent Travel Notification 6-8 weeks prior to departure
- Global Link service stage: Preparation
- Email: Sent by Travel Department to student. Includes:
- International Itinerary and Gateway Orientation information

- Mailing: Travel Department mails:
- Yellow luggage tags (2),
- Support Notification: Transition to Support Department 2 weeks prior to departure
- Global Link service stage: Participation (once student lands in host country)
- Mailing: Student Services sends ‘Transition to Support letter’ to parents
