The program leader selection coordinator is a volunteer who manages the process by which program leaders are selected. For the 2009 cycle, Robb Hale is the program leader selection coordinator.

Overview of position
- Responsible to: Jonathan Shakes, Chief Program Officer, Sending
- Works with: program leader selection committee, Program Services Officer Jen Bricker
- Time Required: 50-100 hours between late November, 2008 and June 30, 2009.
- Skills/competencies needed:
- Familiarity with AFS sending programs, preferably by having experience in one or more of these roles:
- Project management skills
- Ability to update AFS wiki pages such as this one
- Responsibilities:
- oversee, improve, and facilitate the selection process
- organize and manage a program leader selection committee
- ensure the committee selects a qualified group of program leaders prior to a staff-imposed deadline (tentatively April 1, 2009)
- publicize the program leader slots in the monthly AT volunteer coordinator newsletter and other channels.
- ensure that potential applicants have a forum in which to address their questions. One or more program info calls would be a way to meet this responsibility.
- responsibilities are similar to those of Betsy Velluto in the 2008 cycle, with modifications and improvements.
Timeline and time estimates
Since the selection process is under revision, the time estimates are approximate.
Nov 2008 (10 hours)
Revise/Update materials including:

Update application and make it available on the wiki -
Develop a method of making all applications available to committee members online(done by revising application to be a single Word document, which can be mailed to afspls@googlegroups.com for sharing) -
Work with AFS staff to update program-specific information sheet -
Finalize selection process and document it on the wiki
Dec 2008 (4 hours)
Post Application Information
- Post Application, program information, selection process, timeline, informational conference call info on wiki. All other advertising should be a link to this
- Post to AFS-USA inbox with link to Wiki
- Email link to all department Chiefs asking them to share with staff
January 2009 (10 hours)
Set up information conference calls to take place in January
- Ask former program leaders to sit in on the calls from various countries
- We suggest multiple (3?) conference calls with varying times to accommodate different schedules and time zones
Select the program leader selection committee
- Invite former program leaders
- Invite staff. Support, program services, and HR departments have good potential
- Secure final approval of committee members by Chief Program Officer, Sending
February 2009 (10 hours)
- Meet with selection committee to review process and answer any questions
- Suggested timeline
- February 1-1st round deadline (review letters/resumes or applications)
- February 15th-invite applicants to move forward to 2nd round (if applicable)
For those not moving forward, send email notifying them of their status
March 2009 (15-20 hours)
- Maintain spreadsheets that track applicant information
- Suggested timeline
- March 1st- Complete applications for 2nd round due
- March 15th-due date for reviewing application
- March 15-31st-candidates interviewed by selection committee
April 2009 (10 hours)
- April 1-call all candidates to let them know whether or not they’ve been chosen and confirm that they still plan to participate
- Give program leader names to AFS staff including travel department, support, and program services
- April 15 or earlier: Public announcement of applicants chosen to be program leaders

- Ensure program leaders are aware of any visas/immunizations they need to obtain
- Ensure support has agreed to train program leaders and has agreed to provide student lists
- Serve as escalation point or advocate for program leaders if necessary
