Preparing for the NH09 compliance audit

2009 Audit Requirements

Year 1 - NH08-SH09 Cycle:
As the NH08-Sh09 cycle is considered Year 1 of the CSIET transition to a compliance audit based review system, programs that were listed in the 2008-09 Advisory List were approved for listing after an initial review.

Year 2 - NH09-SH10 Cycle:
Programs must meet each of the following three criteria in order to avoid being issued one or more advisories. Advisories serve as a precursor to a potential conditional listing in the subsequent cycle, and are not available for public review. Programs that are issued advisories in Year 2 will receive a full listing in Year 2.

 Requirement A: Programs must score an overall average minimum of 85% or better for
 all audit questions.
   AND
 Requirement B: Programs must score an 85% or better on each of the following critical
 program issues:
 *High School Enrollment
 *Host Family Screening - application, Criminal Background Check, interviews, references
 *Monthly Contact
 *Staff/Volunteer Screening, Criminal Background Check
   AND
 Requirement C: Programs must score a minimum of 75% or above on each individual
 audit question.

What Volunteers can do:

Hosting

  • For Families
    • Ensure that the Host Family Application is completed, signed, and dated prior to the 3-week deadline
    • Ensure that the in-home interview, with all family members present, is done prior to 3-week deadline (signed, dated and submitted to the Regional Service Center.
    • Ensure that the Placement Acceptance Form is signed and dated by a school official prior to the student's arrival.
    • Ensure that all host families attend a Host Family Pre-Arrival orientation prior to the student's arrival.
      • Have all families sign the attendance/sign-in sheet!
    • Ensure that all students are listed on an Arrival Orientation sign-in sheet.
      • Have all students sign the attendance/sign-in sheet! Please indicate on the Arrival orientation sign-in sheet that the student id cards were given to each student.
    • Work with staff to ensure that all host family members over the age of 14 complete background checks prior to arrivals or prior to move date if during the program
    • When making double placements, ensure that the Double Placement Paperwork is complete prior to arrivals.
    • When moving a student throughout the year, be sure that all of the above are completed prior to the move.
  • For Liaisons
    • Ensure that every student/family placement has a Liaison assigned
    • The Liaison must be both registered and trained
      • Have all Liaisons sign the attendance/sign-in sheet!
    • Have a local plan to achieve 100% monthly contact documentation
      • Follow up with Liaisons that have not documented contacts before the month ends
      • Have registered volunteers on call to contact students and host families when Liaisons are unable to.
  • For Students
    • Help to plan Orientations in your area - Make sure all students sign the attendance/sign-in sheet!
