Lack of Volunteer Support for Candidate Process

Overview

Each student is provided an equitable opportunity to represent themselves in an in-person interview. When a volunteer does not support a candidate as a result of the initial interview, a second interview will be provided.

When interviewing a candidate, Volunteers should be looking for Hallmarks of Successful Sending Participants and Red Flags to determine a candidates ability to have a positive AFS experience.

Process

  1. If two volunteers are present at the interview and neither volunteer support the applicant, the volunteers indicate this on the Sending Interview Form. Based on this information, the applicant will not be accepted for an AFS program.
  1. If only one volunteer is present at the interview and does not support the applicant, the volunteer contacts the local Sending Interview Coordinator to arrange a second interview. The volunteer who provided the initial interview and the Sending Interview Coordinator will review the concerns and develop a list of follow-up questions to be asked in the second interview.
  • If there is not a local Sending Interview Coordinator, then the volunteers contact the staff Sending Team Manager to help arrange a second interview.
  • If the Sending Interview Coordinator provided the first interview and does not support the student, then another volunteer will provide a second interview, or contact the staff for assistance in arranging a second interview.

When the volunteers contact staff regarding the need for an additional interview, the volunteer will provide details of their concern on the Interview Form, and provide additional documentation as needed via email.

  • To decide on the 2nd interviewer, there will be a meeting with Student Services Manager, Student Services Adviser and Sending Team Manager to agree upon which volunteer will hold the 2nd interview. This team will review the concerns and develop a list of follow-up questions to be asked in the 2nd interview.
  • Once that is decided, the Student Services Adviser communicates to the 1st interviewer that a 2nd interview will take place.
  • The Student Services Adviser will communicate to the 2nd interviewer:
    • that we would like them to do a follow-up interview
    • An overview of the concerns and follow-up questions determined in the staff meeting.
  • The Student Services Adviser will communicate to the student and parents that there will be a second interview to gather additional information. If pressed, the Adviser can say there were some potential concerns regarding the applicants preparedness for an AFS program and that we offer a 2nd interview to ensure a fair process for the student.
    • Important: The exact concerns are never shared with the student or parent.
  • The 2nd interviewer and the family arrange for the interview and hold the interview.
  • The 2nd interview must be in-person, with at least one parent. Ideally, the second interview should include the same family members as the first interview. The second interview may include 1:1 time with the candidate and the interview, based upon the volunteers discretion. It may also be helpful to have a Returnee who is a registered volunteer included in the second interview.
  • If the 2nd interviewer does not support the student, the student is rejected.
  • If the 2nd interviewer does support the student, then there is a second follow-up meeting between the Student Services Manager, Student Services Adviser and Sending Team Manager and the two interviewers to make a final determination about the student’s readiness and appropriateness for an AFS program. The Student Services Manager makes the final call. As necessary, the Student Services Manager will consult with the Director of Student Services and the Support Manager for that region. The Student Services Adviser informs the student and parents of the final outcome.
