Hosting Lead Management Process

Our new system contains several distinct advantages. First, it eliminates the distinction between "Form A's" and "leads." By doing this we have eliminated the need for two lead management databases, LMS on the staff side and AFS online for volunteers. This new system also avoids introducing any new databases such as Salesforce, which would have required extensive training and considerable staff and volunteer time to manage. Finally, the new system creates a single way for interested families to enter the hosting process, making it much easier to track potential host families in a much more systematic way.
The new lead management process is as follows:
- an interested family visits the AFS website and submits a host family interest form
- the family immediately receives a confirmation email containing general information
- volunteers receive an email with the family's name and contact information
- volunteers contact the family to provide them with information and gauge their interest in hosting
- volunteers inform the staff Regional Hosting Coordinators of the family's hosting interest and viability
- if appropriate, staff sends the online host family application to the family to complete
Changes to the AFS USA website:
- the Form A has been removed from the website (families only have the option of submitting a host family interest form)
- the ‘apply online’ button has been renamed to ‘submit interest form’ and leads the family to the host family interest form instead of the form A
- on the ‘Host an Exchange Student’ page, the 1-800-AFS-INFO number has been replaced with the Regional Service Center number (1-800-876-2377)
- the ‘Request More Information’ link has been removed (this formerly led families to the old hosting lead form)
