Using Global Link is an important part of working with AFS. Sending Volunteers need to use Global Link for a variety of functions, such as finding students or other volunteers, viewing the Matrix for up-to-date program availability, viewing travel details, looking uo a student's scholarship status, and creating activities like Pre-Departure Orientations. This page contains instructional tutorials on how to use Global Link to do all of these functions and more. We have also included a comprehensive Glossary to better assist you.

How to Find a Student

Use this tutorial to find information on a particular student. It also explains where to click to view further information about the student, including how to view the application, find their family contact information, view the Contact Log, and find information on the status of the student’s Service Case.

How to Find a List of Participating Students in your Team

Use this tutorial to help you search for a list of all of the students in your Team who are either working on their applications, have submitted their application, or are already on program.

How to Find Volunteers in your Team

Use this tutorial to find a list of all the active volunteers in your Team. You can also use this tutorial to view their Person Record for information on the volunteer, including contact information, affiliation(s) with the Team, and registration status.

The Returnee Initiative has created a number of volunteer roles specifically to engage recent Returnees locally and nationally as AFS volunteers. Use the following instructions to search for the active Returnee Volunteers in your area.

How to Find Returnees

Use this tutorial to find contact information for Returnees in your Team. Returnees should be welcomed back into the AFS network following their program and can be engaged as volunteers.

How to Record a Contact in a Student’s Contact Log

This tutorial teaches you how to record a contact with a student. It is important that you record every contact with a student, including phone, email, and in-person. These contacts are important for staff and volunteers to gather as much information as possible on the applicant.

How to Email a Group of Students for a PDO or Other Event

Use this tutorial to email all of the students and their natural parents in your Team to invite them to your PDO (Pre-Departure Orientation), notify them of a local Info Night or event, send them a reminder about “Online Info Sessions”, alert them of upcoming deadlines or other notifications, etc.

How to Find a Student's Scholarship Status

Use this tutorial to find what scholarships the student has applied for, the amount (if any) they have been awarded, and their remaining balance. A glossary is included to help you understand the different stages and statuses of an applicant’s scholarship.

How to Find Students Who Still Need Their Interview

Use this tutorial to help you locate the students in your Team who are still missing their interview. All applicants must have an at-home interview to complete their application.

How to Find Student Travel Information

This tutorial helps you locate the email sent to students alerting them of their travel information. Their itinerary informs the student of the date, time, airline, and airport for their international travel from the Gateway City to their destination. It does not display the travel information from the participant’s home to the Gateway City.

Creating Your Own PDO or Other Activity

This tutorial teaches you how to create an Activity in Global Link. An Activity is a record of an event in your community or online with students, natural families, volunteers, and staff, e.g. PDO (Pre-Departure Orientation), Re-entry event, training, or school presentation.

Finding and Assigning Students to PDOs or Other Activities

This tutorial is used as follow-up after creating an Activity. By following the instructions, you will learn how to add students and volunteers to your Activity in order to make an accessible record of every member that attended.

Viewing the Matrix

Use this tutorial as an introduction to the Matrix, an up-to-date spreadsheet that tracks how many spots are available in each Host Country. It is useful to view the Matrix when advising students/parents on program choice.

Interpreting the Service Case Search

This tutorial displays a detailed diagram to help you interpret the search results from a Service Case search. It also explains where to click to view further information about the student, including how to view the application, find their family contact information, view the Contact Log, and find information on the status of the student’s Service Case.

Interpreting the Person Search

This tutorial displays a detailed diagram to help you interpret the search result from a Person search. It also explains where to click to view further information about the contact information for volunteers.
