Completing the placement

Acceptance of a particular exchange student by a qualified host family is the key step in the hosting process, but does not complete the process. All of the following activities must occur before the hosting coordinator's responsibility for this placement is complete.
- Execute the request for placement using Global Link, hosting section.
- Notify by email the Team Chair, the Support Coordinator, the Liaison Coordinator, and staff field coordinator of the placement.
- Provide to the host family the complete application packet, along with instructions for completion. The best method is to email the forms in Word format, ask the recipient to download them, complete and save them on their computer, and email them to hostfampapers@afs.org. Exception: the Form F must be faxed or mailed, since it needs a written signature documenting the host agreement.
- Contact the high school registrar or responsible administrator for accepting exchange students. Advise them of the planned placement, partially complete the Placement Acceptance Form, PAF, and forward same to the administrator for completion and submission to the AFS National Admissions Center via fax (503-961-8388). The signed PAF must be on file with AFS before the exchange student arrives in the country.
- Complete the Form E which provides information about the high school to AFS. If the Form E has recently been prepared for other AFS students for the same high school, that information may be replicated. The requested information for the Form E can frequently be found on the high school web site.
