AFS-USA Position Description

Chapter Hosting Coordinator

The AFS Chapter Hosting Coordinator develops and implements a host family finding plan that meets goals and ensures adherence to AFS-USA standards and mission.

Responsible to: Chapter Chair and Team Hosting Coordinator

Time Required:

  • 5-7 hours per week (may be more or less depending upon goals and time of year)

(Negotiating, mediating, recognizing others, problem-solving)

  • Passion for the AFS mission

Training:

  • Participation in regional or national conferences or training events
  • Ongoing support from Regional Service Center and national staff
  • Peer-to-peer training and/or mentoring available

Works With:

  • Staff
    • Regional hosting and admissions staff
  • Volunteer
    • Team Hosting Coordinator
    • Chapter leadership
    • Chapter volunteers

Responsibilities:

  • Work with chapter chair and and AT Hosting Coordinator to set goals consistent with area hosting commitments.
  • Develop an annual host family finding plan, including steps, dates, target communities/schools, and distribution of tasks
  • In coordination with other chapter leadership, conduct AFS presentations focusing on hosting opporutnities for relevant community groups (church, business, civic, school organizations), and ensure placement of public service announcements in local media..
  • Ensure prospective host families inquiries are followed up within 7 days.
  • Ensure prospective host families are interviewed in accordance to AFS-USA standards.
  • Ensure contact is maintained with host families during the application process and act as their primary resource person
  • Oversee and monitor all student placements in the chapter and that complete host family paperwork is submitted in a timely manner.
  • Ensure school acceptance is arranged in accordance with AFS-USA standards. Seek school "reservations" for AFS students insofar as local policies allow.
  • Keep host familiy recruitment materials and re-order as needed.
  • Provide periodic updates of host family recruitment to Chapter Chair and Team Hosting Coordinator.
