ARRIVAL DAY VOLUNTEER ASSIGNMENTS
Airport Coordinator
- Meet international flights outside of customs
- Collect return international plane tickets from students.
- Load students on charter buses to the hotel and/or orientation site.
- Transport students between terminals and airports.
- Check other students in for domestic flights and direct them through security.
- Communicate Departures of shuttles, flights and buses to the staff onsite via phone. Cell phone desired, with no roaming and free minutes, but not required.
Bus Greeter
- Meet incoming buses/vans from airport.
- Give “Welcome Speech” provided by Logistics staff. This will explain check-in procedures, students staying for just the day, luggage, etc. etc.
- Check bus/van before it departs to ensure students have not left anything behind.
Bus Loader
- Coordinate the loading of the luggage using the destination and number of stops as a guide for loading the buses (Last stop loaded first, etc.)
- Stand at the entrance to the bus, and check that the students’ nametags match the destinations for the bus. If any discrepancies, double check the manifest for the students’ names, and verify the students’ destination with the AFS Staff.
- Check them off the manifest to note they are on the bus. Do not allow any students who have been checked off to leave the bus for any reason.
- If there are any missing students, have someone go inside to call out the students name and locate the student, and if still not found, contact the AFS Staff.
Luggage Loader
- Work with the students to load luggage in the buses to conserve space. (Not to be confused with lifting all the luggage yourself).
- Rearrange things and “cram” as much luggage as possible into the underbelly of the charter bus.
Hotel Registration
- Register students who need to overnight for their rooms.
- Direct students to elevators, gathering areas and meal arrangements.
- Make sure that students are settled in their rooms and aren’t wandering throughout the hotel.
“Dorm Parents”
- Help to maintain order in the hotel, as there will be other guests staying there.
- Assist students with any issues that may arise.
- Room checks after 11:00pm.
- Wake up calls.
Floaters
- Direct students to meals, staying mindful of students that must make tight bus connections.
- Direct traffic and ensure luggage is put in area designated for bus departures.
- Announce and direct the students for bus departures.
- Assist staff or students with any issues that may arise.
- Run to airport if delays, problems.
